​Great opportunity for a motivated Team Assistant & Investor Relations Coordinator with excellent communication skills to work for a cutting edge, international and fast-paced venture capitalist setting up their London office.​

​​

Assistant Responsibilities:

  • Extensive complex diary management for Partner (Business & Personal)

  • Scheduling and coordinating meetings and roadshows with investors and potential investors across the region for the London-based IR team, and following up in a timely manner

  • Setting reminders for meetings, appointments and other important tasks

  • Organising visa applications, travel and hotel arrangements

  • Process expenses claims, cost allocation, preparing expense reports and maintaining a filing system for the whole London office

  • Liaising with other EA's to ensure the smooth running of the business and ongoing effective communication

  • Answering telephones in a timely and affable manner, taking comprehensive messages when necessary

  • Arranging internal and external meetings and their relevant logistics, including room booking,ordering refreshments, setting up video calls and document preparation

  • Formatting and typing letters, presentations and other correspondence as required

  • Provide general administrative support as requested  incoming phone calls

  • Effectively liaise with clients, teams, EAs and other contacts

  • Ad-hoc project 

  • Organise dinners and events for various clients 

  • Analyze the usage of investor data room access while preparing the weekly report

Office Management:

  • Managing office supplies

  • Managing IT, telecoms and general office maintenance

  • Undertaking responsibility for first aid and health and safety checks

  • Overseeing incoming and outgoing post and courier deliveries

  • Co-ordinating and facilitating any office move

  • Supporting the day-to-day organisational needs of the London-based Investments team

  • Analysing the travelling cost on corporate travel platform and bank statement reconciliation 

  • Ordering the office equipment and furniture, and managing the outsourcing vendors
